Booking Terms and Conditions

The "Hirer" shall be the person or persons who make the booking and/or pay the deposit (if any) and shall be wholly responsible for complying with the following terms and conditions.
The "Provider" refers to the owners of Ludlow Castle.
The "Property" refers to The Beacon Rooms at Castle House.

1. The Provider does not accept responsibility or liability for:
1.1. the unavailability of the wedding suite of rooms at Castle House if a booking has to be cancelled for reasons arising as a result of the absence of proper arrangements having been made by the Hirer with the Superintendent Registrar to enable a Civil Ceremony to take place (if required).
Nor for:

1.2.any loss due to mechanical breakdown, failure in the electricity supply, fire, flood, Government restriction or act of God which may cause the Property to be temporarily closed and the wedding interrupted or any causes beyond the Provider's control.
1.3. any loss or damage to any Property belonging to or brought on to the Providers property by any person, including motor vehicles and their contents, and is not liable for any injury or any loss claim by or to any person on the Property.
2 Unless otherwise specifically agreed in writing the hire period for Castle House is from 8a.m. to 11p.m. on the day of the Wedding. Guests and designated suppliers chosen by the Bride and Groom, hereafter called the "Persons", leaving the Property at 11p.m. should do so as quietly as possible as a courtesy to local residents, allowing a minimum of one hour until midnight. Unauthorised extended use of the Property past midnight will be charged at a fee of £200 per hour, or part thereof, and will be deducted from the booking surety.
3. The Hire of the Provider's Property including the garden and outdoor areas is upon the strict understanding that the Hirer agrees:
i. to indemnify the Provider against loss or damage to the Property as a result of malicious damage or theft during the hire period.
ii. that the Provider will not be responsible for any claims for injury to persons or loss or damage to persons property howsoever caused, unless it be proved that such injury or damage be caused by faulty equipment or structure provided by the property or negligence on behalf of the Company.
iii. to ensure chosen suppliers and guests observe all safety precautions relative to the Property and that suppliers maintain safe systems of work and provide themselves, their employees and third parties with appropriate levels of accident insurance cover e.g. public, employers and/or product liability insurance.

4. The maximum numbers for guests should not be exceeded at any time. These have been calculated in accordance with fire safety legislation.
5. A £500/£100 deposit is required (as applicable) to book the Property with cheques made payable to "Ludlow Castle" This deposit is strictly non-refundable should the booking be cancelled at any time. The full tariff and Surety is required 12 weeks prior to the wedding taking place.
The £500/£100 Good Housekeeping Surety is refundable (by cheque or by crediting the credit card used to pay the balance) within 7 days after the wedding, but we may deduct from this sum the fair cost of making good damage, replacing breakages or extra cleaning if the Property is not left in a similar condition to that which existed at the time of your arrival. If the loss or damage exceeds the surety we may retain the full sum and seek further indemnity.
If the Hirer cancels the booking once the full hire tariff has been paid, any monies not already committed to equipment hire, staffing costs and other suppliers will be returned to the Hirer, as appropriate.

6. The hire charge does not include attendance by the Providers staff on the day of the wedding except to meet a designated person at the beginning of the hire period in order to cover basic procedures and to secure the Property at the end of the day. If a civil ceremony is taking place at the Property, then a member of the Providers staff will be present for this two hour period.

7. The hire agreement with the Provider is for the provision of the Property only. Unless otherwise agreed in writing the Providers do not accept any liability, contractual or otherwise, for any goods or services provided, or failure to be provided, by third parties.

8. Access to Castle House outside the hire period, for deliveries and parking, must be agreed in writing in advance with the Hirer.
